However, we’ll normally collect information from you only where we need it to perform our subscription agreement with you (i.e., our Terms of Service), where the processing is in our legitimate interests (provided that these aren’t overridden by your interests or rights), or if we otherwise have your consent.

In some cases, we may also have a legal obligation or need to collect information from you or may otherwise need the personal information to protect your vital interests or those of another person.

If we ask you to provide information to comply with a legal requirement or to perform a subscription agreement with you, this will normally be clear from the context in which we are asking you to provide your information (for example, when we ask you to provide a username to access our Services, this will be to create an account for you in accordance with our Terms of Service), and, if not, we will provide an explanation to you at the relevant time. We will also make clear whether providing information is mandatory.

Similarly, if we collect and use your information in reliance on legitimate interests (or those of any third party) which are not listed above, it will be made clear to you at the relevant time what those legitimate interests are (such as personalizing our services and marketing, for example).

If you have questions or need further information about the legal bases on which we collect and use your personal information, please Contact Us.

  • Beacon for ordering and materials estimation
  • Recurly for subscription management and billing
  • HubSpot for customer relationship management
  • Momnt for financing and loan applications EagleView and GAF for aerial measurement services

We carefully select our third-party partners and make reasonable efforts to ensure they maintain appropriate safeguards to protect the privacy and security of the data we share with them. In some cases, we may share basic company information and contact details with partners who have already obtained this data through other means.

Before sharing any of your data with third parties, we will obtain your explicit consent through a clear notice within our app or Services. You can customize your data sharing preferences or opt-out completely at any time through your account settings.

Data Sharing with Google and Microsoft OAuth Services

To enhance your experience with Roofle, we offer the option to connect your Google or Microsoft email account. This allows you to send roofing quotes directly to homeowners from your own email address through our app.

When you choose to connect your Google or Microsoft account, you will be asked to authorize Roofle to access certain information, such as your email address and the ability to send emails on your behalf. This authorization process uses Google and Microsoft's secure OAuth protocol.

We want to emphasize that Roofle only accesses and uses this information for the specific purpose of enabling email sending functionality within our app. We do not use your Google or Microsoft data for any other purposes, such as advertising or marketing.

You can revoke Roofle's access to your Google or Microsoft account at any time through your Google or Microsoft account security settings. Please note that disconnecting your email service will disable the ability to send quotes from your email within Roofle.

Google Limited Use Policy Disclosure

Roofle's use of Google user data obtained from oAuth consent complies with Google's Limited Use Policy. Roofle's use and transfer of information received from Google APIs to any other app will adhere to Google API Services User Data Policy, including the Limited Use requirements.

  • when we believe in our sole discretion that our Services are being used in committing a crime, including to report such criminal activity or to share information with other companies and organizations for the purposes of fraud protection, credit risk reduction, and other security precautions;
  • when we have a good faith belief that there is an emergency that poses a threat to the health and/or safety of you, another person, or the public generally; and/or
  • to protect the rights or property of Roofle or applicable third parties, including to enforce our Terms of Service.

Sale or Merger

In the event that Roofle considers or consummates a business transaction, like a merger, acquisition by another company, or sale of all or part of its assets, we may disclose or transfer all of your information, including personal information, to the successor organization in the transaction. We will make reasonable efforts to let you know (in the way described in Changes to Our Privacy Policy) of any such business transactions when they occur.

4. Data Sharing with Third Parties

We work with trusted third-party service providers to help deliver, enhance and optimize our Services. This includes providers for cloud storage, project management, sales, marketing, financing, aerial measurement, and more. The specific data shared depends on the service, but may include account details, contact information, payment data, project information and usage data.

Before enabling data sharing with any third party, we require the company account owner or authorized representative to review and accept our Privacy Policy and Terms of Service, which outlines our third-party partnerships and data practices. By accepting, the company consents to data sharing on behalf of their employees/users.

Individual users associated with a company account do not provide explicit consent for data sharing. The company provides consent during the account setup process.

Some key third-party partners include Amazon Web Services, Beacon, Recurly, HubSpot, Momnt, EagleView, GAF, Google, Microsoft, Power Bi,  JobNimbus, SalesRabbit and Crossbeam.

Managing Data Sharing

Company administrators can manage third-party integrations and opt-out of data sharing with select providers like Beacon, Momnt, EagleView, GAF, Google, Microsoft, JobNimbus and SalesRabbit through the account settings.

However, core services like AWS and Recurly are essential for platform operation and cannot be opted-out of while maintaining an active subscription.

At Roofle, we prioritize the privacy and security of our users' data. To provide you with our comprehensive services, we share certain information with trusted third-party partners. Below is a detailed explanation of what data is shared, with whom, and for what purpose.

Data Stored on AWS

Amazon Web Services (AWS) is our primary cloud storage and processing service. Here, we securely store data across two main services:

  • RDS (Relational Database Service): Stores company, user, and homeowner information, including emails, names, phone numbers, websites, and addresses. It also securely stores sensitive information such as email passwords/refresh tokens, and various account details for integration with other platforms (Beacon, JobNimbus, EagleView, SalesRabbit).

  • S3 (Simple Storage Service): Used for storing company logos and user photos.

Information Shared with Third Parties

  • Beacon: We share homeowner information including first names, last names, and addresses to facilitate the provision of Beacon's services.
  • Recurly: Payment information, including addresses and card or bank account details, are shared for subscription management and billing purposes.
  • HubSpot: Company and user information, such as email, name, phone, website, job title, is shared for CRM and marketing purposes.
  • Momnt: For financing and loan applications, we share user and business information including names, phone numbers, email addresses, and business details.
  • EagleView & GAF: Homeowner addresses are shared for aerial measurement services and roofing material estimates.
  • JobNimbus: Detailed homeowner information, including names, emails, phone numbers, addresses, and map screenshots, is shared for project management and customer relationship handling.
  • SalesRabbit: Homeowner information, similar to that shared with JobNimbus, is used for sales lead management and customer tracking.
  • CrossBeam: Company and user information, such as email, name, phone, website, job title, is shared for partner ecosystem collaboration.
  • Google and Microsoft: When you choose to connect your Google or Microsoft email account to Roofle, we access your email address and the ability to send emails on your behalf. This data is used solely for enabling email sending functionality within our app.
  • Microsoft Power BI: We share aggregated, non-personally identifiable usage data with Power BI for the purpose of big data analytics and service improvement.

No user information is shared with any AI models.

Who Has Access To Your Data

Access to data is tightly controlled and limited to ensure your privacy:

  • Front-end Access: Contractors can only see information associated with their specific account. Roofle administrators have limited access and cannot view personal information collected through our tool used by contractors.

  • Database Access: Direct access to the database is restricted to a select few head engineers and our CTO, protected via SSH tunnel and accessible only to authorized users with a PEM key.

  • Security Measures: Information in our database, such as passwords and sensitive integration details, is secured using bcrypt hashing and encryption methods to ensure they cannot be reverted to a readable string or decrypted without authorization.

We are committed to transparency in our data practices. By sharing this information, we aim to inform you about how your data is used and safeguarded. If you have any questions or concerns about our data sharing practices, please contact us directly.

5. User Control and Opt-out Options

At Roofle, we deeply respect your right to privacy and provide you with full control over your personal information and the data you choose to share. Here’s how you can manage your preferences or opt out of data sharing with third parties:

Managing Your Data Sharing Preferences

At Roofle, we understand the importance of giving you control over how your data is shared with third parties. Currently, you can manage your data sharing preferences through the following methods:

Company Administrator Controls: If you are the designated administrator for your company's Roofle account, you have the ability to connect or disconnect integrations with select third-party services, including Beacon, Momnt, EagleView, GAF, JobNimbus, and SalesRabbit. By disconnecting these integrations, you can stop sharing data with those specific providers.

Please note that certain third-party services, such as Amazon Web Services and Recurly, are essential for the core functionality of our platform and cannot be disconnected. To fully opt-out of data sharing with these essential providers, you would need to cancel your Roofle subscription.

Accessing and Deleting Personal Data

If you wish to review or delete the personal information associated with your Roofle account, please submit a request to info@roofle.com. We will make reasonable efforts to provide you with a copy of your data and/or delete your personal information from our records, except in cases where we must retain certain data for legal, accounting, or other legitimate business purposes.

Opting Out of Promotional Communications

You can opt-out of receiving promotional emails and other marketing communications from Roofle at any time by clicking the "unsubscribe" link in any promotional email you receive from us, or by visiting your Email Settings within your account.

Please note that even after opting out of promotional communications, we may still need to contact you regarding your account, transactions, or other non-marketing purposes.

Instructions for Opting Out of Data Sharing

  1. For Company Administrators: Log into your account, navigate to the Integrations section, and disconnect any third-party integration you wish to opt-out of data sharing with.

  2. For Individual Users: Contact info@roofle.com to request deletion of your personal data, or to opt-out of data sharing with specific third parties that cannot be disconnected through the admin controls.

  3. Our team will review your request and take appropriate action based on the nature of the data sharing and our legal obligations.

We are committed to being transparent about our data practices and giving you appropriate controls over your information. If you have any other questions or concerns, please don't hesitate to contact us.

Implications of Opting Out

We strive to provide a personalized and efficient service experience, and sharing data with trusted third-party providers plays an important role in this. Opting out of data sharing with certain providers may affect or limit some of the functionality, customization, or integration capabilities we can provide through our platform.

For example, opting out of sharing data with EagleView and GAF may impact our ability to provide you with accurate aerial measurement and roofing material estimates for your projects.

However, we respect your choices regarding data privacy, and will always ensure that you have access to our core services, regardless of your data sharing preferences.

7. Our Policies Concerning Children

Roofle’s Services are not intended for children persons under 18 years of age.  You must be at least 18 years old to have our permission to use our Services. We do not knowingly collect, use, or disclose personally identifiable information from children under 13. If you believe that we have collected, used, or disclosed personally identifiable information of a child under the age of 13, please contact us so that we can take appropriate action.

6. Your Rights and How to Update and Manage Your Personal Information

You can manage your consent for data sharing with third parties through your account settings. Here, you can view which third parties have access to your data, customize what information is shared with each party, or completely opt-out of data sharing for a particular service.

Withdrawing your consent will cease any further sharing of your data with that third party, but it may impact the functionality or customization of the services we can provide. For more details on managing your data sharing preferences, please see our "User Control and Opt-out Options" page.

8. How Long We Keep Your Information

How long we retain your personal information depends on why we collected it and how we use it, but we will not retain your personal information for longer than is necessary for our business purposes or for legal requirements.

We will retain personal information about you and connected with your account and/or the Services you use from us for as long as you have an active account with us. We will take reasonable measures to delete this personal information if you delete your account. However, you acknowledge that we may retain some information after you have closed, or we have deleted, your account with us where necessary to enable us to meet our legal obligations or to exercise, defend, or establish our rights.

9. Security of Your Information

We implement reasonable and appropriate security measures to help protect the security of your information both online and offline and to ensure that your data is treated securely and in accordance with this Privacy Policy. We employ technical, administrative and physical safeguards that are designed to prevent unauthorized access, maintain data security and ensure correct use of personal information. These measures vary based upon the sensitivity of your information.

If you have an account registered directly with Roofle, your profile information is protected by the password you use to access your Roofle account. It is important that you protect your password and control access to your Roofle account and that you immediately contact us regarding any unauthorized use of your account. If you forget the password to your Roofle account, the Services allow you to request from us instructions that explain how to reset your password. If you access our Services through a social network and your social network account is hacked or otherwise compromised,  your Roofle account might be accessed or deleted without your permission. So, be careful to protect your social network account information, including your passwords. You should always log out of your Roofle account and any social network account used to access our Services as soon as you are finished using the Services.

When you sign into your Roofle account or enter payment information, we and our third-party payment processor use encryption to transmit that information.

While we take precautions against possible security breaches of our Services and our customer databases and records, no website or Internet transmission is completely secure. We cannot guarantee that unauthorized access, hacking, data loss, or other breaches will never occur, and we cannot guarantee the security of your information while it is being transmitted to our Service. Any transmission is at your own risk.

Your continued use of Roofle.com, Roof Quote PRO™, Contractor Loan Pro, and/or other domains or websites operated by Roofle after we have posted the revised Policy constitutes your agreement to be bound by the revised Policy. In the event of a dispute, we will share equally in the costs and fees of the Arbitrator.  The arbitration shall be administered by JAMS pursuant to its Streamlined Arbitration Rules and Procedures and shall be conducted in Minneapolis, Minnesota unless the parties agree to another location. The Arbitrator is empowered to award attorney fees and costs to the prevailing party in any arbitration and related proceedings.  Judgment on the Award may be entered in any court having jurisdiction. This clause shall not preclude Parties from seeking provisional remedies in aid of arbitration from a court of appropriate jurisdiction.
